About the Role

The Program Administrative Assistant (PAA) provides essential administrative support for the Urban, Rural, and Northern Indigenous Housing Strategy (URN) program. This role ensures smooth operations by managing schedules, coordinating meetings, handling correspondence, and maintaining program records. The PAA also assists with data entry, financial tracking, document preparation, and report compilation to support program initiatives. Additionally, this role may involve coordinating workshops, liaising with stakeholders, and representing the URN program at public outreach events as needed.

This position is fully remote, based in British Columbia, with occasional travel for meetings or events. If you have strong organizational, administrative, and communication skills and are passionate about supporting Indigenous housing initiatives, this is a great opportunity to contribute to a meaningful program.

Key Responsibilities

1. Administrative Support

  • Manage calendars, schedule meetings, and coordinate appointments.

  • Prepare, format, and distribute reports, documents, and presentations.

  • Handle incoming and outgoing correspondence with professionalism.

  • Maintain organized electronic and paper-based filing systems.

2. Program Coordination & Communication

  • Coordinate workshops, programs, and community sessions as needed.

  • Conduct research on local building trades, industry skills, and labor availability.

  • Assist in project coordination, tracking deadlines, and managing action items.

  • Liaise with internal teams, senior management, and external stakeholders.

3. Financial & Record-Keeping Support

  • Assist with budget tracking, invoice processing, and expense reporting.

  • Maintain accurate records related to department operations and program activities.

  • Ensure compliance with confidentiality and data security requirements.

  • Support the development of filing processes, procedures, and standard operating protocols.

Education and Experience

  • Degree, diploma, or certificate in Office Administration, Business, or Finance Administration.

  • 2+ years of administrative experience in an office or remote setting.

  • Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel).

  • Strong knowledge of virtual tools (Zoom, Teams, webinars, etc.).

An Asset

  • Bachelor’s degree in Business, Finance, or a related field.

  • Experience with Project or Program Management.

  • Familiarity with First Nations communities & organizations.

  • Understanding of construction contracts and housing programs.

Working Conditions

  • Remote, home-based role (BC-based).

  • Occasional travel for events or meetings may be required.

  • Flexibility to work evenings or weekends as needed.

  • Ability to sit or stand for extended periods while using a computer.
